QuickBooks and Xero integration questions

What UK businesses ask us most before we start.

A QuickBooks integration is a connection between QuickBooks Online and another system, such as Shopify, HubSpot or Stripe, built on Intuit's QuickBooks Online API. It moves data automatically, so orders become invoices, payments are matched and customer details stay consistent, without anyone exporting spreadsheets or rekeying figures. The same approach applies to Xero through the Xero API.

The Xero API lets an approved app create and update contacts and items, raise invoices and bills, record payments, read bank transactions and pull reports. It uses OAuth 2.0, so you authorise access with your normal Xero login, and it supports webhooks, so your other systems can react the moment something changes in Xero instead of polling for updates.

Much the same: it reads and writes customers, items, invoices, bills, payments and journal entries, and gives access to standard reports. Access is granted through OAuth 2.0, so the business owner approves the connection and can revoke it. That makes it possible to link QuickBooks with webshops, CRMs, payment providers and reporting tools.

There are three routes: a ready-made app from the Xero App Store or QuickBooks App Store, an automation platform such as Make, Zapier or n8n, or a custom integration built directly on the API. The right choice depends on how standard your flow is, how many systems are involved and how important it is that edge cases are handled correctly.

Usually not. We register the integration as an app in Xero's developer portal, or Intuit's for QuickBooks, and you authorise it with your normal login, choosing which organisation it can access. Xero's developer pricing has a free Starter tier for up to five connections, which covers most integrations built for a single business.

For a single business it is often free or low cost, but it depends on the platform and volume. Since 2 March 2026 Xero prices developer access in tiers by number of connections, starting with a free Starter tier. We check what applies to your setup before we start, so the full running cost is clear upfront.

Yes, when they are built properly. Both platforms use OAuth 2.0, so the integration never sees your password, and access can be revoked at any time. We request the narrowest permissions the flow needs, store tokens securely and log every sync, so you can trace exactly what was created or changed and when.

Yes. Xero allows 60 calls per minute and 5,000 per day for each connected organisation (1,000 a day on its free Starter tier), and access tokens expire after 30 minutes. QuickBooks Online allows 500 requests per minute per company. We design integrations to queue, batch and retry, so busy days such as a sale stay within the limits.

An App Store app is a product someone has already built on the API for a common flow, such as Shopify to Xero. It is quick to set up but works the way the vendor decided. A custom integration uses the same API but follows your rules, connects several systems in one flow and handles the edge cases your business actually has.

Yes, within Xero's rules. An AI agent can read bills, suggest coding and prepare invoices through the API, with a person approving before anything posts. Xero's developer terms state that data obtained through its APIs may not be used to train AI or machine learning models, so we design AI features to use your data for the task only.

Yes. Through the API, invoices, contacts and accounting data can feed a spreadsheet that refreshes itself, so you no longer export, paste and reformat every month. For larger reporting needs, the same data can go into Power BI or Looker Studio instead.

We set it per flow. Orders and payments usually sync as they happen, using webhooks where the platform offers them, while dashboards are often refreshed once or several times a day. The aim is data that is current enough for the decision it supports, without burning through API limits.

A Xero integration connects Xero to another system, such as a webshop, CRM or payment provider, so data moves automatically through the Xero API. Typical examples are orders becoming invoices, Stripe payouts being reconciled and new customers in HubSpot appearing as contacts in Xero, without anyone exporting or rekeying.

In principle any system with an API. Common examples are Shopify, WooCommerce, HubSpot, Salesforce, Pipedrive, Stripe, GoCardless, Klarna, Microsoft 365 and reporting tools such as Power BI and Looker Studio, plus many industry systems for property, construction and professional services. Where there is no API, there is often a file export we can automate.

Yes. Xero offers a free Shopify by Xero integration that suits many shops. When you need more, such as per-order invoices, multiple currencies, marketplace sales or custom VAT handling, we build a custom flow so orders create contacts and invoices automatically and payouts reconcile against them, fees included.

Yes. There is an official Xero for WooCommerce extension for standard needs. We connect WooCommerce to Xero or QuickBooks so orders, customers and products stay in sync and sales are posted without CSV exports, including stores with complex VAT, B2B pricing or several payment gateways.

Yes. When a deal is won in HubSpot, the contact and invoice can be created in your accounts automatically, and invoice status can flow back to HubSpot so the sales team sees whether the customer has paid before they call. It also saves finance from chasing sales for billing details.

Yes. Payments and payouts can be matched to the right invoice and posted to the right accounts, including processing fees and refunds, so bank reconciliation in Xero or QuickBooks becomes a quick check rather than an afternoon of matching line by line.

Yes. We pull accounting data from Xero or QuickBooks into a dashboard that refreshes itself, so sales, margin, debtors and cash flow are always current. It can sit alongside data from your CRM or webshop in one view, which spreadsheet exports rarely manage to keep up with.

We agree your rules in the integration plan and build them in: standard, reduced and zero-rated VAT, sales to overseas customers, foreign currency invoices and discount codes. Getting VAT right in the integration matters, because Making Tax Digital returns are built from the records in your accounting software.

Yes. The approach is the same, but we build against Sage's API instead. We also work with FreeAgent and other UK accounting platforms. If different parts of your business use different systems, such as Xero in one company and QuickBooks in another, those can be connected as well.

Yes. Till sales can be posted to Xero or QuickBooks per day or per transaction, split by payment method and VAT rate, so the end-of-day summary no longer has to be typed in by hand and card takings match what the bank receives.

Yes. Items, stock levels and orders can sync between your accounts and the warehouse or inventory system, so what is sold, picked and invoiced matches everywhere. Stock valuation in the accounts then reflects reality, and month-end stock adjustments become much smaller.

Yes. When a deal is won in Pipedrive, the contact and invoice can be created in your accounts automatically, and invoice status can show back in Pipedrive. The deal owner knows when the customer has paid, and finance no longer chases sales for billing details.

Yes. Time and expenses from a time-tracking or project tool can become invoice lines on the right project or tracking category. Nothing billable is forgotten at month end, invoicing takes minutes instead of hours, and project profitability is visible in the accounts.

Yes. When switching to Xero or QuickBooks from Sage, an older desktop package or spreadsheets, customers, suppliers, items and open invoices can be migrated so you carry on without starting from scratch. We agree the cut-over date with your accountant so balances reconcile.

It depends on how many systems and flows are connected and how many edge cases need handling. A single flow such as Shopify to Xero is far simpler than a multi-system setup. After a free review you get a fixed price proposal, and monitoring and support can be added as a fixed monthly fee.

A well-defined flow, such as webshop orders to invoices, is often live within a few weeks. More systems and edge cases take longer, so we build in stages and put each flow into use as soon as it is tested, rather than waiting for the whole project.

The integration retries automatically on temporary errors, such as Xero or QuickBooks being briefly unavailable, and queues events so no orders or payments are lost. If something can't be resolved automatically, you and we get an alert with the details, so nothing fails silently.

We follow API changes and deprecation notices from Xero and Intuit, as well as changes in the other systems the integration connects to, and update the integration before they cause problems. That is part of the monitoring and support agreement.

Yes, and we recommend it. We start with the flow that saves the most time, such as order to invoice or Stripe reconciliation, prove it works on your real data and then add the next one. Each new flow reuses the logging and error handling already in place.

No. The point of an integration is that you keep the systems your team already knows and let them talk to Xero or QuickBooks, rather than forcing the business onto a new all-in-one platform. If a system genuinely holds you back, we will say so, but that is rare.

Yes. The integration, the code and all data belong to you, and you get full documentation of how it works. Another developer could take it over if you ever wanted them to, and the app registration and credentials sit in accounts you control.

Yes. Through the API, an AI agent can read supplier bills, suggest account codes and VAT treatment, draft invoices and chase late payers, then ask a person to approve before anything is posted. It is one of the most common ways our clients combine AI agents with their accounts.

For simple flows it often works well, and we're happy to build in Make or n8n, which has official Xero and QuickBooks nodes, when it fits. Note that Zapier's Xero app is a premium app. When a flow has many edge cases or high volumes, a custom integration on the API is usually more robust.

It can. HMRC's VAT Notice 700/22 says that once data is in your software, moving it between programs must happen through digital links, not by copying by hand. MTD for Income Tax also applies from April 2026 to sole traders and landlords with income over £50,000. An integration keeps those links automatic.
